Privacy Policy

How SignageLAB collects, uses, and protects information when you use our cloud signage platform, player hardware, and websites.

Overview

SignageLAB ("we", "us", or "our") is a digital signage platform operated from Kathmandu, Nepal. We provide a cloud-based content management system (CMS), companion player hardware, and related services that let our customers publish content to screens at their business or institutional locations.

This policy explains what information we collect through our websites (including signage-lab.com and the SignageLAB portal), our player devices, and any related services (together, the "Services"), how we use it, who we share it with, and the choices and controls available to you.

Information we collect

Information you provide directly

  • Account details — name, business or organisation name, role, email address, phone number, and billing address when you sign up, request a demo, or place an order.
  • Content you upload — images, videos, playlists, templates, and any text or layouts you publish through the CMS to your screens.
  • Billing & payment data — invoice contacts, tax/PAN identifiers, and bank or payment-gateway references. We do not store full card numbers; payments are processed by third-party providers under their own privacy terms.
  • Support & communications — messages you send us by email, WhatsApp, phone, or through the portal, along with any attachments you choose to share.

Information collected automatically

  • Device data from players — each SignageLAB Player reports basic operational telemetry: online/offline status, IP address (only as needed to maintain the connection), firmware version, current playlist, and periodic snapshots of the screen for monitoring.
  • Portal usage data — login times, browser and device type, the pages you view in the CMS, and the actions you take (such as scheduling content or adding a screen).
  • Website analytics — when you visit our marketing websites we collect basic page-view and referrer information to understand traffic. See the Cookies section below.

Information from third parties

We may receive information from payment processors confirming a transaction, from analytics providers about aggregate visits, or from partners who refer you to us. We do not buy personal data from data brokers for marketing.

How we use information

  • To operate the CMS, sync content to your players, and keep your screens online.
  • To bill you, deliver invoices, and process renewals.
  • To provide customer support, troubleshoot issues, and roll out updates.
  • To send service notifications (e.g. scheduled maintenance, security alerts) and account communications.
  • To improve the platform — understand which features are useful, fix bugs, and plan new functionality.
  • To comply with applicable law, respond to lawful requests, and protect against fraud or abuse.
  • With your consent, to send occasional product news or marketing — you can opt out at any time.

How we share information

We do not sell your personal information. We share it only as described here:

  • Service providers. Trusted vendors who host our infrastructure, deliver email, process payments, or help with analytics. They are contractually bound to use your data only for the services we ask them to perform.
  • Within your organisation. Activity and content under a single account are visible to other users your administrator has invited, with the permissions your administrator sets.
  • Legal compliance. If required by law, court order, or to protect the rights and safety of SignageLAB, our customers, or the public, we may disclose information to authorities or other parties.
  • Business transfers. If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you and continue to honour the commitments in this policy.

Cookies and similar technologies

Our websites and the portal use cookies and similar technologies to keep you signed in, remember your preferences, and measure traffic. You can control cookies through your browser settings; blocking some cookies may affect how the portal works.

Our player devices do not use browser cookies. They sync securely to our cloud over HTTPS using an account-bound token.

Data retention

  • Account & billing records are kept for as long as your account is active and for a reasonable period afterward to meet legal, accounting, and audit obligations.
  • Uploaded content remains on the platform until you delete it. If your account lapses for more than 12 months, we may delete or archive uploaded content after giving you notice.
  • Player snapshots are typically retained for 30 days, then automatically deleted.
  • Support messages are kept for at least 24 months so we can reference past tickets when you reach out again.

Security

We use industry-standard measures to protect the information you trust us with: encrypted transport (HTTPS / TLS), role-based access controls in the portal, separated production environments, regular software updates, and routine backups. Player devices ship in a locked-down mode designed to resist tampering.

No system is perfectly secure. If we become aware of a breach that affects your information, we will notify you and the appropriate authorities as required by law and applicable regulations.

Your rights and choices

Depending on the laws that apply to you, you may have the right to:

  • Access the personal information we hold about you.
  • Correct information that is inaccurate or incomplete.
  • Request deletion of your information (subject to legal retention obligations).
  • Object to or restrict certain processing of your information.
  • Withdraw consent where we rely on consent to process your information.
  • Export a copy of the content you uploaded to the platform.

To exercise any of these rights, email us at signagelabofficial@gmail.com. We may need to verify your identity before acting on a request.

You can also opt out of marketing emails at any time by using the unsubscribe link in those emails. Opting out of marketing does not stop service-related communications such as billing or security notices.

International transfers

SignageLAB is operated from Nepal, but our service providers may process information from other countries. When information is transferred internationally, we use reasonable safeguards to ensure it continues to be protected, including contractual commitments with our vendors.

Children's privacy

The Services are intended for businesses and institutions, not for children. We do not knowingly collect personal information from children under the age of 16. If you believe a child has provided us with personal information, please contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the "Last updated" date at the top of the page. For significant changes that affect how your information is used, we will give you reasonable notice — for example, by email or by an in-portal notice — before the changes take effect.
